Who it's for

A laundry or dry cleaning shop on a busy road in Accra, Kumasi or Takoradi, with the owner, two or three washers and someone at the counter. Many customers pay by the piece, but the good ones pay a monthly amount for an agreed number of baskets. The problem bites at month end, when the owner tries to work out from an exercise book who has renewed, who is still dropping clothes on a plan that already finished, and who quietly stopped coming.

The problem today

Everything sits in the counter book and in my head. Someone pays for the month and I write the date, then the next person takes the book to the back and the page gets wet or torn. When a member drops clothes I cannot tell quickly whether the month is still running or whether the baskets are finished, so we just wash and argue later. At month end I scroll my WhatsApp chats one by one to see who I should remind. Some people I forget completely, and they only come back three months later. Money that was supposed to come in every month comes in when it wants, and the washing that should have been paid for has already been done.

What the app does, screen by screen

  1. Plans and joining — The customer sees each monthly plan, what it covers, and joins or renews by paying with mobile money from the phone.
  2. My membership — The customer sees how much of the month is left, how many baskets remain, and a WhatsApp button to message the shop.
  3. Counter check-in — Staff search a member by name or phone, record the drop-off and the pick-up against the membership, and see straight away when the plan is finished.
  4. Members list — The owner sees who is active, who has lapsed and who ends this week, with a call and a WhatsApp button beside each name.
  5. Plans and money — The owner creates and edits plans, sets what each one covers and what it costs, and sees the payments that came in this month.

Who uses it and what it keeps track of

  • Members — Name, phone number, area, how they prefer to be contacted, and the notes staff add about starch or ironing. Staff and the owner see this; a member sees only their own record.
  • Plans — The name of the plan, what it covers in a month, what it costs, and whether it is still being sold. Customers see the plans that are on sale; only the owner can change them.
  • Memberships — Which member, which plan, the day it started, the day it ends, how much of the allowance is used, and whether it is active or lapsed. The member sees their own; staff see it at the counter; the owner sees all of them.
  • Drop-offs — The member, the day the clothes came in, what was brought, which staff received it, and the day it went out. Staff and the owner see these; the member sees their own.
  • Payments — Who paid, for which plan, the day it came in, and how it was paid. The member sees their own receipts; only the owner sees the month's total.

What it changes for the business

The counter stops guessing. Staff know before they take clothes whether the month is still running, so washing is not done for a plan that already ended. Members get a reminder before the month closes, so renewals come in on time instead of whenever the person remembers. Names that go quiet show up on the lapsed list while the owner can still call them, and the owner can see the month's payments without going through the book. Less arguing at the counter, fewer members lost without anyone noticing.

The one decision that matters

The one decision is what a monthly membership actually covers: a set number of baskets or loads per month, or as much washing as the member brings. As much as they bring sounds generous and sells easily, but it is the option that brings duvets, curtains and a whole family's clothes, and it eats soap, water and machine time you cannot charge for. A counted allowance is easier for the person at the counter to explain, easier for the member to check on their own phone, and it is the thing the app can actually keep score of. Go with a counted allowance, and let anything beyond it be paid for by the piece.

What to build first, and what can wait

Build the plans, joining and renewing by mobile money, the counter check-in, the active and lapsed list, and the reminder before a month ends. That is the whole problem. Pickup and delivery with a map, receipts printed at the counter, staff commission and loyalty points can all wait. If the membership side is not solid first, the extras only give you more things to argue about at the counter.
