Meera's Absence Alert

When parents cancel on WhatsApp, I mark that child absent in one tap, so the staff open one page and see who is actually coming.

Who this is for

Meera Kulkarni runs Little Sprouts, a preschool in Kothrud, Pune. Thirty-two children, four teachers, one van driver named Salim. Her phone starts buzzing at 7.10 in the morning, while she is still packing her own son's tiffin. Aarav has fever. Ishita is at her grandmother's in Satara till Monday. She reads these standing in the kitchen, and by 8.15 she is at the gate greeting parents and has no memory of either message.

How the job is done today

There is a WhatsApp group with all the parents, and a second one for the four teachers. Parents message the big group, or Meera's personal number, or sometimes the driver. Meera forwards what she remembers to the teacher group. Salim leaves at 7.45 and takes children who are not coming, waits four minutes outside a locked gate, then calls Meera. The junior teacher keeps a paper register and marks absent at eleven, after the fact. Twice this month lunch was counted for children who were at home.

The screens, in order

1. This morning — Shows today's date and every child's name in a single list so Meera can tap the ones who just cancelled and be done.
2. Child card — Opens when she taps a name, so she can say absent today or absent till a date, and type one line about why if it matters.
3. Coming today — The page teachers and Salim open, showing only who is expected, with the absent names below in grey.
4. Children — Holds the list of children, their class and their van stop, so the morning list stays correct as admissions come and go.
5. Last two weeks — A quiet look back at who has been away often, for the one conversation Meera needs to have with a parent.

What it keeps track of

• Children — name, which class, parent's name and number, van stop or dropped by parent, still enrolled or left
• Absences — which child, which day, or from which day to which day, one line of reason, who marked it
• Staff logins — name, phone number, teacher or driver or owner, whether they can mark absences

The one decision that matters

Should parents mark absences themselves, or only Meera. A parent login is tempting because it removes her from the middle. But parents will not open a website at 7.10 in the morning when WhatsApp is already open and they already trust that Meera reads it. A parent login means chasing thirty-two families to use it, and half will message anyway, so the list becomes half true, which is worse than no list. Keep it internal. Meera reads WhatsApp as she always has and taps names. Ten seconds, and the ten seconds are hers alone. If she is unwell, the senior teacher has the same login.

What to leave out of the first version

No messages going out from the app, in either direction. No automatic WhatsApp reply to parents, no notification to Salim. He opens the coming today page before he starts the van, because that is one habit, not a system to maintain. Also no fees, no photos, no daily reports to parents. The moment this app asks Meera for anything beyond a tap, she will go back to forwarding messages, and forwarding is what fails.

How you would know it worked

Salim's van does not stop at a house where nobody is coming out. He goes past Aarav's building without slowing, because he read the name at 7.40. And the kitchen counts twenty-nine plates on a day twenty-nine children came.
