Spa membership reminder app to reduce member churn
Remind members before their membership runs out, so they renew instead of quietly disappearing.

Remind members before their membership runs out, so they renew instead of quietly disappearing.
Who it's for
A spa or beauty studio in a mall or along a busy street, the kind with a few treatment rooms, a front desk and a small team of therapists. The owner sells memberships and session packages because they keep people coming back. The problem bites at the front desk, when a suki walks in, the receptionist checks the logbook, and finds out the membership lapsed last month. Nobody told her. Nobody called.
The problem today
Everything is in the logbook and a spreadsheet on the office laptop. The receptionist writes the name, the date, and ticks off the session used. When a membership is about to end, nobody notices until the member is already standing there. If the owner remembers, she asks someone to go through the list and message people on Viber, but that only happens when the clinic is slow. Members who stop coming are never followed up. They are not angry, they just forgot, and by the time anyone checks the sheet they have been gone for months. The owner only finds out sales dropped when she counts at the end of the month.
What the app does, screen by screen
- My membership — The member opens the app and sees which plan they are on, how many sessions are left and the exact date it ends.
- Front desk check-in — The receptionist searches the member by name or number, sees at once if they are active or lapsed, and records the visit.
- Renew — The member picks the same plan or a different one and pays online, or reserves the renewal and settles it at the desk.
- Members list — The owner sees everyone in one place, filtered into active, expiring soon and lapsed.
- Follow-ups for today — Staff work through the short list of people to contact, with a button that opens a chat with each one and a place to note what they said.
- Reminder settings — The owner decides how early the reminders go out and what they say, in her own wording.
Who uses it and what it keeps track of
- Members — Name, mobile number, birthday, which branch they go to, sign-in details, notes from staff about skin or allergies. Staff and owner see the notes, the member sees only their own record.
- Memberships and packages — Plan name, what it includes, sessions included, start date, end date, status whether active, expiring or lapsed. The member sees their own, the owner sees all.
- Check-ins — Who came, which date, which service, which therapist, which session it used up. Staff record it, owner reviews it.
- Reminders and follow-ups — Who was reminded, when, through which channel, who called back, what the member answered, and whether they renewed. Staff and owner only.
- Payments — What was paid for, how it was paid, which membership it renewed, who recorded it. Owner sees everything, the member sees their own receipts.
What it changes for the business
Nobody lapses in silence anymore. Members get told before their plan ends, while they still feel like a regular, and renewing takes one tap instead of a trip to the desk. The front desk stops guessing from the logbook and stops the awkward conversation about an expired plan. The owner opens one screen and knows who is active, who is about to leave and who to call this week. Staff follow up because the list is short and already in front of them, not because somebody remembered to ask.
The one decision that matters
Charge members automatically when the plan ends, or remind them and let them choose to renew. Automatic renewal looks easier and keeps the money coming, but in a spa it breaks trust fast. Someone sees a charge they did not expect, complains at the desk, and your receptionist spends the morning refunding instead of booking. Go with reminders plus one-tap renewal. The member decides, the app makes deciding easy, and the follow-up list catches whoever does not answer. You keep the renewal and you keep the relationship.
What to build first, and what can wait
Build check-ins, member records, the expiry dates and the reminders first, plus the list of who to call. That alone stops the leak. Online payment can wait, because the front desk already takes payment and can mark it in the app. Leave out points, referral rewards, therapist schedules and multi-branch reporting until the reminders are running and staff trust the list more than the logbook.
How BooDoo builds it
You describe the spa, the plans you sell and when reminders should go out, in plain words. BooDoo builds the database and the sign-in behind it, so the member sees only their own plan, the receptionist sees the check-in screen and you see everything. The same request gives you a website on its own address and an Android app you can publish on Google Play under your own account, with your domain connected. Payment and messaging are added when you need them, along with a button that opens a chat with the spa. Want a change later, just describe it.
How you'll know it works
At the end of the month, the expiring soon list is nearly empty, because those members already renewed on their last visit instead of disappearing.
Build it
Paste this in and it gets built.
I run a spa with a few treatment rooms and I sell memberships and session packages. I want an app where members sign in and see their plan, how many sessions are left and when it ends, and can renew with one tap or reserve the renewal and pay at the desk. My receptionist needs a screen to search a member, see right away if they are active or lapsed, and record the visit so a session is deducted. I want to see all members in one list split into active, expiring soon and lapsed, with a daily follow-up list of who to contact and a button that opens a chat with them, plus a note of what they said. Send reminders before a membership ends and again after it lapses, in my own wording. Website and Android app.
Paste that request and it gets built, with a real database, sign-in and a phone app. You can change anything afterwards.
