Who this is for
Vikram Gaikwad runs Iron Point Gym on Gangapur Road in Nashik. A hundred and forty members, two trainers, a 6 am batch that fills the floor and a 7 pm batch that spills onto the terrace. At quarter past six he is at the desk calling names between sets, and he will not touch anything on a screen that might swallow a name he cannot get back.
How the job is done today
A long ruled register sits at the desk. Vikram ticks names in it, and when he is on the floor spotting someone, his trainer Sameer ticks them instead, in different handwriting. Fees live in a second notebook, one page per member, at the back. On the first of the month Vikram sits with both books and a calculator, ringing whoever looks unpaid. Twice a year he rings a man who paid five hundred in cash three weeks ago and is now annoyed about it. Anyone who forgets to sign in is simply absent forever, and nobody notices when a regular quietly stops coming.
The screens, in order
- Morning roll call — Shows the batch that is on right now as a list of big name buttons, so Vikram or Sameer can tap people in as they walk through the door without losing their place.
- One member's page — Puts everything about a single person on one screen, so Vikram can see her attendance this month, what she owes, and when she last paid, before he picks up the phone.
- Add or correct a member — For putting a new joiner on the list and for fixing a phone number or a fee amount that was typed wrong.
- Fees this month — Separates who has paid from who has not, so Vikram knows exactly whom to speak to on the fifth instead of guessing from a notebook.
- What changed — Lists every tick, edit and removal from the last thirty days with a put it back button beside each one, so no mistake is ever final.
What it keeps track of
- Members — name, phone number, which batch they come to, the day they joined, monthly fee, and whether they are still coming or have been removed
- Attendance marks — who came, which day, which batch, and who ticked them off
- Fee payments — who paid, how much, for which month, cash or UPI, and the day the money came in
- What changed — what was done, to whom, when, by which of the two of them, and what it looked like before so it can be put back
The one decision that matters
The real choice is between confirmation popups and a proper put it back list. Are you sure boxes feel safe and are not. After two weeks Vikram taps yes without reading, and once the wrong thing is gone it is still gone. Go the other way. Nothing is ever truly deleted. A removed member moves to a removed list and comes back later with every attendance mark and payment intact. Every tick, edit and removal from the last thirty days sits in one list with a put it back button next to it. Undoing an attendance mark should also move the fee count back on its own, so Vikram never has to fix two things to fix one mistake.
What to leave out of the first version
Leave out automatic WhatsApp fee reminders, the fingerprint machine at the door, trainer salaries and diet charts. Vikram already rings the eight people who are late and he is good at it. Sending messages to a hundred and forty members is the one action a wrong tap could not take back, and putting it in the first version would make him afraid of the very screen he needs to trust. Bring it up again once he has stopped checking the notebook.
How you would know it worked
One morning Sameer ticks the wrong Patil present, Vikram spots it at half past six, taps put it back, and the batch carries on. Nobody rings anybody. On the fifth of the next month, the unpaid list on the screen matches the cash box, and Vikram does not open the old register to check it.
