Track every quote and invoice you send, see which clients have paid and which are still owing, and know your money at a glance.
Who it's for
A freelancer working alone or with one person helping now and then. A graphic designer in Accra, a photographer in Kumasi, a web person, a copywriter, a seamstress taking private orders. You have a handful of clients at a time, each at a different stage. The problem bites at the end of the month, when you sit down to work out who has paid you, who promised to pay, and whether you can cover your own bills.
The problem today
The quote goes out as a Word file on WhatsApp. The invoice is the same file with the word invoice typed over it. Payments come as MoMo alerts and sometimes a bank transfer. Nothing sits in one place. So you scroll WhatsApp to remember what you charged a client in June, and you find you never sent the invoice at all. Some clients pay half and you forget the rest. Some you are too shy to chase because you cannot say for sure whether they paid or not. Work gets delivered, the money stays outside, and you only notice when you need it.
What the app does, screen by screen
- My money — The owner opens here and sees what has been paid, what is still owing, and which invoices have passed their due date.
- New quote — The owner writes the job line by line, sends the quote to the client, and turns it into an invoice once the client agrees, without typing it again.
- Invoice link — The client opens this on their phone, sees exactly what the work was and what is due, and pays from there.
- Client page — The owner sees everything about one client in one place: quotes, invoices, payments received and what is still outstanding.
- Record a payment — The owner enters a payment that came by mobile money or bank transfer, including part payments, and the invoice updates itself.
- Reminders — The owner sees who is overdue and opens a WhatsApp chat with that client with a polite reminder already written.
Who uses it and what it keeps track of
- Clients — Name, business name, phone and WhatsApp number, how they usually pay, private notes. Only the owner sees this.
- Quotes — What the job is, each item and its price, the date it was sent, how long it holds, and whether the client accepted. The owner sees all; a client sees only their own.
- Invoices — Invoice number, client, the work described, due date, and whether it is unpaid, part paid or settled. The owner sees all; a client sees only their own.
- Payments — Date received, amount, mobile money or bank or cash, and which invoice it belongs to. Only the owner sees this.
What it changes for the business
You stop guessing. Every job has a quote, every delivered job has an invoice, and no invoice goes missing because the file got buried in a chat. You know who is owing before you need the money, not after. Chasing stops being awkward, because you are not asking from memory, you are pointing at a date and an amount. Clients pay faster when the invoice comes with a way to pay on the same screen. And part payments stay visible, so the balance never quietly disappears.
The one decision that matters
The one decision is whether the client pays from the invoice itself or you keep taking money the way you always have. Option one, the invoice carries a pay button, so the client settles while they are still looking at it. Option two, you leave your MoMo number on the invoice and the client sends money in their own time, and you record it. Go with the pay button, and still allow yourself to record payments by hand. Many of your clients will send MoMo without touching the button, especially the ones you have worked with for years, and if the app cannot take those, your figures will be wrong and you will stop trusting the app.
What to build first, and what can wait
Build quotes, invoices, recording a payment, the client page and the overdue reminder. That is the whole worry solved. Leave for later: recurring invoices for retainer clients, expense tracking, tax reports, multiple currencies for clients abroad, and letting clients sign in to see their own history. You only need those once the basic habit is holding, and if the first version is heavy you will not use it.
How BooDoo builds it
You describe this in your own words and BooDoo builds it. You get a real database behind it with sign-in, so your clients and money stay yours alone, and the invoice link opens for the client without them needing an account. The same request gives you a website on its own live address, with a custom domain if you want your own name on it, and an Android app you can publish under your own Google Play account when you are ready. A payment integration is added for the pay link, and WhatsApp buttons so a reminder opens straight into a chat. Change anything later by describing the change.
How you'll know it works
At the end of the month you open one screen and know, without scrolling WhatsApp, exactly who owes you and how long it has been. And the reminders you send are the ones you used to leave unsent.
Build it
Paste this in and it gets built.
I do freelance design work in Accra and I want a website where I can keep my clients and all the money side of my work. I want to make a quote, send it to the client on WhatsApp, and when they agree, turn that same quote into an invoice without typing everything again. Each invoice should have its own link the client can open on their phone, see exactly what the work is, and pay by mobile money or card. I want to record payments myself too, including part payments, and I want one screen that shows me what has been paid and who is still owing. If an invoice passes its due date, give me a button that opens WhatsApp with a polite reminder already written for that client. Only I sign in to the back part. Later I may want it as an Android app as well.
Paste that request and it gets built, with a real database, sign-in and a phone app. You can change anything afterwards.
