Priya's Trainer Message Board

Trainers open one page and see only the messages about the members they actually train, not the whole gym's day in one pile.

Who this is for

Priya Kulkarni runs Iron Yard Fitness on College Road in Nashik. Four trainers, about two hundred and forty members, two batches in the morning and two in the evening. It is 6.40 in the morning, the floor is full, and Priya is standing at the desk reading a message from a member about a sore shoulder, working out which trainer needs to know, and typing it out again for them while three people wait to swipe in.

How the job is done today

Every member has the gym's number, so everything lands on Priya's phone. Knee pain, batch changes, protein questions, a photo of a UPI payment, someone asking if the treadmill is fixed. Priya reads all of it and copies each one into the right trainer's chat, or shouts across the floor. There is also a staff group where messages go missing under good morning forwards. Rekha, who takes the ladies' batch, checks that group thirty times a day and still finds out on Friday that her member wrote on Tuesday. When Priya is at the bank, nothing moves.

The screens, in order

1. My board — A trainer opens this first and sees only the messages about their own members, oldest still-waiting one at the top.
2. The message — Shows the member's words exactly as they sent them, along with who they are and what they seem to be asking for, so the trainer can act without hunting.
3. Member card — Answers who this person is, which batch they attend, which trainer they belong to and what they last wrote in.
4. Priya's pile — Holds the messages the assistant could not confidently match to any member, waiting for Priya to point them at the right trainer.
5. Members and trainers — Lets Priya add a new member, move someone to a different trainer, and mark a trainer as off so their board goes to somebody else.

What it keeps track of

• Messages — who sent it, exactly what they wrote, which day and time, which member it is about, which trainer it went to, handled or still waiting, who handled it
• Members — name, phone number, which trainer, which batch, joined when, paid till which month
• Trainers — name, phone number, which batches they take, on duty or off

The one decision that matters

When the assistant cannot tell whose member a message is about, does it make its best guess and drop it on some trainer's board, or does it hold the message in Priya's pile? Guessing keeps the pile at zero, which feels tidy. But a message sitting on the wrong trainer's board gets read, quietly ignored as somebody else's problem, and then nobody owns it. Hold it. Most unsure ones are short Hindi messages from a number that never saved a name, and Priya can place four or five of those in two minutes with her tea. A small honest pile beats a clean board full of things going unanswered.

What to leave out of the first version

No replying from inside the board. Trainers read there and answer from their own WhatsApp, the way they already do. Building the reply side means owning delivery, ticks and arguments about who said what, and that is a month of work for the smaller half of the problem. The pain is reading, not replying. Also leave out fees and attendance for now, or it stops being a message board and becomes gym software nobody finishes.

How you would know it worked

Priya goes to the bank on a Wednesday morning and forwards nothing. Members still get answered by lunch, and at the end of the day the unmatched pile has four messages in it, not forty.

I want one page where all the messages land and each trainer sees only the ones about their own members, so Rekha does not have to scroll past Sameer's twenty messages about the boxing batch. Most members write in Hindi and I read that fine, so keep their words exactly as they sent them, but let me type in English when I search or add a note. If a message does not match anyone I have on file, keep it in my own pile and I will hand it over myself. Every message should be markable as handled, so nothing sits for four days. And I should be able to add a new member and choose which trainer they go to.
